Start with acceptance

Identify what your engineering, quality and receiving teams need to review. A document list should reflect the actual equipment and purchase scope rather than a generic request for “all certificates.”

Connect records to equipment

Specify the identification and traceability information required on material reports, inspection records and packing documents. The relationship between a document and the supplied component should be understandable to the reviewing team.

Confirm applicability

A certificate may apply to a particular manufacturer, location, process or product scope. Ask for relevant evidence and review its applicability to the proposed supply. Avoid assuming that one certificate establishes conformity for every product in a portfolio.

Agree on timing and revisions

Clarify which documents are required with the quotation, before manufacturing, before shipment and at delivery. Keep drawing and document revisions consistent with the final agreed configuration.

General procurement guidance. Product selection and acceptance should follow the project specification and appropriate technical review.
